TARP is the Sensatronics Temperature Alert Response Protocol. As we discuss your needs and the systematic process for handling alerts (a similar but different process and protocol is used for data reporting up and out of the organization), we collaboratively establish an alert notification sequence and how alerts are elevated if that need is anticipated.

Phase 1 – post needs analysis; this is the installation of the hardware and probes. It starts with the purchase order, then the shipment, deployment and installation of all equipment.

Phase 2 – completed install – monitors are accessible via browser and all probes showing valid temperature/environmental data. Installation wiring diagrams, spreadsheet outlining hardware configuration information (such as IP address, etc.), spreadsheet of software configuration.

Phase 3 – system validation. Are the temperatures, including baselines, correct? Compare and set up pass/fail tests. Sequence of tests to verify that the system implementation is complete and correct. Finish flowchart.

Phase 4 – TARP structure is set up and you approve it. Flowchart and documentation clearly outline actions and escalations that’ll take place if/when an alert is received.

Phase 5 – Support & maintenance. Welcome message from Sensatronics outlining what’s covered, hours of support, and your support agreement number. Training begins with an online meeting that talks about “how to” and followed by a downloadable movie for periodic reinforcement of best practices and action sequences.

Phase 6 – Certification. All monitors are checked against ISO 17025 to perform according to National Probe Accuracy Certification as supported by the National Institute of Standards and Technology (NIST).

Case Study 1

case-study-1When a hurricane knocked out the electricity in Beaufort County, North Carolina, the Beaufort County School System had more than $200,000 of food under refrigeration to serve students at its 14 elementary, middle and high schools. All the refrigerators and coolers were in the affected area. Gwyn Roberson-McBride, Child Nutrition Director in charge of school meals, explains what happened and why they turned to Sensatronics for help.

The Problem: Preventing Food Loss and Keeping Children Safe

Among the many government and industry standards for safeguarding food, the hazards analysis and critical control points (HACCP) system provides rules for food production, storage and distribution. HACCP mandates checking the temperature of food during storage and states, “The temperature range between 41º and 140ºF is called the temperature danger zone. When food is in this temperature range, harmful bacteria can grow, multiply, and possibly cause food borne illness.”

The Beaufort County School System is rigorous in its application of HACCP and its regard for student health. Years ago, they installed a local monitoring system for refrigerators and coolers. Staff checked the monitors regularly (at least once a day) and recorded the temperatures on a paper log. All that prevention proved useless when a hurricane shut off electricity throughout the county. There was no way to know whether the freezers and coolers had shut down or for how long. No one was at the schools to physically check the monitors during the hurricane; and the monitors were passive recorders, not able to send out an alert. After the fact, the monitors provided only immediate information, not any history.

Child Nutrition Director, Gwyn Roberson-McBride states, “When we lost electricity, we had no way of telling what happened to the coolers or how long a cooler was shut off. The school board felt it was safer to throw out the food, $200,000 worth. The situation could have been prevented if we were told when the outage started or knew how long it continued.”

The Solution: Sensatronics Monitors and the Cloud

After the hurricane losses, McBride searched for a monitor that would alert her to problems and record the history of temperatures. “One alternative we looked at was a system that hooked into the security system and that would just send out a generic phone call if the temperatures started rising. But with Sensatronics monitors, we had more options. I can monitor the temperatures from my home; I have an app on my phone for alerts. I can decide right then if I need to call a technician. Sensatronics installed monitors for every refrigerator and freezer in 12 Beaufort County schools, with an additional two monitors in the warehouse. Data is backed up nightly and stored in the cloud. The school is alerted as soon as electricity is lost through a power failure; and because data storage is cloud-based, data continues to be collected even if the internet fails. As soon as the emergency is over, the school can extract the data from the cloud without any gaps. It is immediately clear how temperatures were affected by the outage and for how long. As McBride states, “We can look at the graphs and see exactly what is going on. We can look at any cooler or refrigerator and see the temperatures for any 24 hours.”

Sensatronics monitors give so much information that experienced users catch problems even before they trigger an alert (for example, a slow warming in temperature) and can pinpoint the cause (compressor failure, refrigerant leak, a door left open), without even being onsite.

Sensatronics has worked with Redmond, Inc., a Utah-based salt business that manufactures products for animals, businesses and homes. Redmond, Inc. has many freezers and fridges for cold storage of their products; however, their built-in temperature monitoring capabilities did not provide them with a convenient and reliable process to access the information they needed to protect their salt from environmental damage.
